ABOUT JOB
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role requires a strong background in office management and personal assistance, with a focus on enhancing productivity and ensuring smooth operations.
Duties
- Manage executive calendars, including scheduling appointments and coordinating meetings.
- Provide event planning support for corporate functions and personal engagements.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
- Coordinate projects by liaising with various departments and stakeholders.
- Handle clerical duties such as data entry, filing, and maintaining organized records.
- Offer executive administrative support by preparing reports, presentations, and correspondence.
- Maintain office management tasks including supply inventory and equipment maintenance.
- Utilize Microsoft Office Suite and Google Workspace for document creation and management.
- Conduct proofreading and transcription of documents to ensure accuracy.
- Provide exceptional customer service through effective phone etiquette and communication skills.
- Operate multi-line phone systems to manage incoming calls efficiently.
- Assist with front desk responsibilities as needed.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with calendar management using Microsoft Outlook Calendar.
- Familiarity with DocuSign for document signing processes.
- Excellent typing skills with a focus on accuracy and speed.
- Prior experience in administrative roles or as a personal assistant is preferred.
- Knowledge of project coordination principles and office management practices.
- Ability to maintain confidentiality while handling sensitive information.
- Strong communication skills, both written and verbal, with a professional demeanor.
Job Type: Full-time
Pay: $24.35 – $29.32 per hour
Expected hours: 40 per week
